WISK.ai Bar Inventory Management Solution for Five Group

A comprehensive cloud-based bar inventory management proposal prepared for Five Group.

Venue Overview

Pacha Ibiza

Iconic nightclub with adjacent restaurant. Currently uses WISK for inventory as proof of concept (POC). WISK implementation has proven to be successful and efficient.

Current Systems

Manual inventory counts using spreadsheets. Time-consuming and error-prone process. This approach often leads to inaccurate data, making it difficult to effectively manage your hotel's inventory and make informed business decisions.

Five Palm Group

Each hotel has its own centralized store room where they receive and manage inventory. The Dubai properties are particularly large operations, with alcohol "flowing like rivers" and current inventory counts take 4-5 days per hotel to complete.

Your Current Challenges

Manual Inventory Process

Time-consuming counts prone to human error and inconsistencies.

Multi-Outlet Complexity

Inventory scattered across numerous venues creates tracking challenges.

Reconciliation Issues

Difficulty matching inventory across different revenue centers.

Limited Visibility

No real-time data or mobile accessibility for on-the-go management. Need better control and visibility of variances at individual bar/outlet level.

Objectives

Digitize the Inventory Process

Replace manual Excel and paper-based counts with WISK’s mobile app to reduce errors and streamline data entry.

Standardize Inventory Across Outlets

Build a unified product catalog by scanning and labeling one of each item—ensuring consistency across multiple outlets and revenue centers.

Maintain Existing Counting Schedule

Align the new system with the current 15th–20th monthly count cycle to ensure operational continuity.

Simplify Multi-Outlet & Multi-Area Counting

Enable area-based mobile counting to support complex inventory structures and reduce the risk of missed or duplicated counts.

Implementation Plan - Phase 1

Foundation Setup at FIVE Palm Jumeirah

Objective: Establish a clean and complete inventory foundation across this property before moving on to the 2 other UAE properties.

1. Full Walkthrough & Initial Scanning

Build each venue’s digital product catalog.

  • Visit all inventory areas (main bars, stockrooms, wine cellars, satellite locations).
  • Scan one of each unique product using the WISK app.
  • Manually add unrecognized products with proper names and categories (liquor, wine, beer, mixers, etc.).

2. Standardize Product Naming

Ensure consistency across all venues.

  • Implement consistent naming conventions for brand, size, and packaging.
  • Eliminate duplicates and prevent errors from mislabeled products.

3. Assign Users, Roles & Permissions

Add team members to WISK and give them the right access.

  • Add key team members to the WISK platform.
  • Assign roles and permissions based on areas of responsibility.
  • Set permissions based on who’s counting where and keep your inventory process tight and organized.

4. Prepare for Full Inventory Count

Set expectations and readiness for accurate first inventory.

  • Confirm that all products have been scanned, labeled, and categorized.
  • Train core staff (or leverage WISK support) to finalize the setup and conduct the first inventory with confidence.

Implementation Plan - Phase 2

Scale to FIVE Jumeirah Village & FIVE Luxe

With the foundation built at FIVE Palm Jumeirah, we replicate and enhance the setup at FIVE Jumeirah Village & FIVE Luxe.

  • Conduct product catalog scanning and validation at FIVE Jumeirah Village.

  • Standardize processes for ordering, stock transfers, and variance reporting.
  • Train staff using the refined structure established at Jumeirah.

Implementation Plan - Phase 3

Expansion to FIVE Zurich & Destino Ibiza + El Hotel Pacha
